1099 & missing addresses?

Hazlett | Posted in Business on January 22, 2009 03:38am

I have w-2’s back from the payroll service to send out— no problems THERE–

but I also have 2 subs to send 1099’s to.

I have a good address for one of the subs( he owns a house a few blocks away from me)— but the other one has moved several times since he last worked for us—-and he changed cel phone numbers several times while he worked for us—–so I don’t think I can get ahold of him.

Last time I heard– he had moved to a nearby college town

I am sure some of you have had similar situations.
guy did nothing for us after july 2nd last year and I have no idea of a current address

so— how do I 1099 him ?

Send to the last know address.  I may be forwarded.

You get out of life what you put into it......minus taxes.

I think they only forward it for 6 months, tops.
Last thing he did for us he finished about july 2-- he was moving at that time from one town into an adjaecent town to get his kids into a different schoolunless someone has a better idea--- I guess I will just have to send it to"John Smith, Kent Ohio 44333" Or whatever the zip code is there-- I think the town is small enough that their is only one zip codestephen

It is hard telling what the post office would do in a case like that.Forwarding is automated and I THINK triggers off the address and then they check the name. But I am not sure. And that might not be done at the local post office, but at the central sorting officesNow I am on a rural route, but we now have street address. Until about 10-15 years ago we used the RR# and Box #. We also used the lot# and developement name for physical address for delivers. And the post office requires that for bulk mailers that the address be in standardized formats and that they be vetted against a list of good address. For business that list includes names. But only address for residents. The software that some mail order companies used did not understand rural routes and would cover it to PO BOX # and then change the zip code to one that the post office only used for PO Boxes. But they left the 2nd line alone with the lot and developement nameBut the local PO serviced about 50,000 people and because of the lot and development name they allways found me.Legally send it to the address that you have on record. And if it is returned just keep that in your file.If you want you can try sending duplicates, but make sure that you mark it as such, to alternate address. But no requirement to..

You need to pretend you don't know all this about his movements and send it to his last known address. You could do yourself more harm than good by winging it. The IRS will look more favorably on things if their copy has a real address on it, especially one that he used to use. Just sending it general delivery will not qualify.

"I guess I will just have to send it to"John Smith, Kent Ohio 44333" Or whatever the zip code is there-- I think the town is small enough..."Other posters have advised you correctly, IMO, to send to last known address. As to small town post offices, I spoke with a gal here in Orange County, CA the other day who said that her hometown was so small that she won a bet by mailing a letter to her parents addressed this way:From Angela to Mom & Dad
[small town name] TexasShe won. Her parents got the letter in 4 days.BruceT

send it to the last known address it's not your responsibility to keep track of his every move and whether he ever recieves your 1099 or not if he's honest he'll still claim the amount on his taxes so  as long as your copy gets to the irs your covered. if he doesn't get it and doesn't claim it thats his baby.

google? interesting thought-- tried it and what came up for him was an court docket for an eviction from that town also interesting---- drove past the other guys house------- he lives just a few blocks away-- for sale sign in the yard-- feel bad for him because he really took care of that place--was remodeling the kitchen last spring( I gave him some slate he was going to use for counter tops or something)--- anyhow at THAT time his wife had JUST got laid off from the neighboring counties department of corrections---she was some kind of gaurd that's a tough recession when they are laying off prison gaurds !

I am a mail carrier and hopefully this will help you out. Send the 1099 to the last known address you have for him. If the sub you are trying to send it to filled out a forwarding request (although a lot of people don't) his mail carrier will pull it out of general circulation and send it on to CFS (Central Forwarding System). From there the system is automated and reads the last 3 numbers of the address street number and the first 4 letters of the last name or business name, so make sure you get those right.

Then you will be covered and the PO will be able to track the letter.

Send it to the address he gave you. You've done your part.
